Building your wedding team is one of the most important steps in planning a smooth, memorable day. Here’s a guide to help you select the right people and vendors to bring your vision to life:

1. Start with a Vision

Before selecting anyone, get clear on your wedding style, budget, and priorities. Are you dreaming of a rustic outdoor ceremony or a black-tie ballroom affair? Your vision will help guide your choices.

2. Core Wedding Team Members

Here’s who you may want on your wedding team, depending on your needs and budget:

Key Professionals:

  • Wedding Planner / Coordinator
Why: Handles logistics, vendor coordination, timeline management.
Tip: Full-service planners are ideal for busy couples; day-of coordinators are more budget-friendly.

  • Photographer and Videographer
    Why: Captures your memories beautifully.
Tip: Look at full wedding albums, not just highlight reels.

  • Venue Coordinator
Why: Oversees venue-specific details like catering, layout, and rules.

  • Caterer (if not included with venue)
Why: Good food is key to guest experience.

  • Officiant
    Why: They legally marry you!

Creative Vendors:

  • Florist
Sets the tone with floral arrangements, bouquets, and centerpieces.

  • DJ / Band
Creates the vibe and keeps guests entertained.

  • Hair & Makeup Artists
Helps you feel your best on the big day.

  • Stationer
Creates your invites, menus, and signage. This is something we do daily here at Mila and May.

  • Baker
Cakes and desserts can be both delicious and decorative.

3. Where to Find Vendors

Recommendations from friends, planners, or other vendors.

  • Wedding websites like The Knot, WeddingWire, or Zola.

  • Social media (Instagram is great for seeing recent work).

  • Local wedding fairs or expos.

4. Vet Your Vendors

Check reviews and testimonials

  • Review contracts thoroughly

  • Ask about backup plans (especially for outdoor weddings or health-related issues)

  • Gauge responsiveness and professionalism.

5. Consider Personality Fit

You’ll be spending a lot of time with some vendors—especially your planner and photographer. Make sure you feel comfortable with them!

6. Don’t Forget Helpers

  • Bridal party – for support and prep.

  • Family or close friends – some may want to help with setup or personal touches.

  • Point person for the day – if you don’t have a planner, assign someone to answer vendor questions.
